Privacy notice.
What personal information AdWalk collects, why, how long we keep it, and your rights.

1. Who we are
AdWalk runs walking LED screen advertising in Leicester city centre. You can reach us at [email protected].
We are the controller of the personal information described in this notice, which means we decide how and why it is used.

2. The short version
- We only collect what we need to run AdWalk: to reply to enquiries, give people their offers, work with advertisers and pay our operators.
- This website doesn't use advertising or tracking cookies.
- If you claim an offer, the business only gets your contact details if you tick the box to hear from it.
- We never pass your details to anyone else for their own marketing without your consent.
- You can ask to see, correct or delete your information at any time.
3. Visiting our website
- What we collect
- The technical information your browser sends when a page loads, such as your IP address, browser and device type, the page you asked for and the time. Our analytics count visits without cookies and without identifying you.
- Why
- To show you the website, keep it secure and understand which pages are used.
- Lawful basis
- Legitimate interests: running a secure website and improving it.
- How long
- Analytics are kept only as totals. Security logs are kept by Cloudflare, our hosting provider, for a short period.
4. Sending us an enquiry
This covers the form on our Book a demo page, and emails or WhatsApp messages you send us about advertising.
- What we collect
- Your name, business name and email address, plus anything else you choose to give us: phone number, type of business, what you're interested in and your message. To stop spam, your IP address is held for up to 20 minutes and then deleted automatically.
- Why
- To reply to you, arrange a demo and talk to you about advertising with AdWalk.
- Lawful basis
- Legitimate interests: answering business enquiries. Where you're asking about becoming an advertiser, also taking steps at your request before a contract.
- How long
- 24 months after our last contact with you. If you become an advertiser, section 6 applies instead.
5. Claiming an offer from an AdWalk screen
When you scan the QR code on an AdWalk screen and claim an offer, AdWalk runs the claim page and collects your details.
- What we collect
- Your first name, last name, email address and UK mobile number. We also record which offer and business you claimed, which screen, route and walker it came from, when you claimed it, your code, whether and when it was redeemed, and whether you ticked the box to hear about future offers. To stop misuse, your IP address is held for up to 2 minutes and then deleted automatically.
- Why

- To create your code and give you the offer you asked for.
- To let the business check your code when you use it.
- To stop codes being used more than once or misused.
- To give the business totals for its campaign, such as how many offers were claimed and redeemed. These totals don't include your details.
- If you opted in, so the business can send you future offers (see below).
- Lawful basis
- Contract: providing the offer you asked for. Legitimate interests: preventing misuse and producing campaign totals. Consent: marketing from the business, which is optional and can be withdrawn at any time.
- How long
- 12 months from when you claimed, then deleted or anonymised.
What the business sees
When you use your code, the business's staff see your first and last name and the offer, so they can check the code is yours and hasn't been used.
If, and only if, you ticked the box to hear about future offers from that business, AdWalk may pass your name, email address and mobile number to it so it can contact you. AdWalk may charge the business for this. The business then becomes responsible for how it uses your details, and must let you unsubscribe. You can withdraw your consent at any time by telling the business or emailing us.
6. Advertising with us
- What we collect
- The names and contact details of the people we deal with at your business, your business name and address, your agreement, bookings, payments, your ads and your campaign totals.
- Why
- To run your campaign, send your numbers, invoice you and keep proper records.
- Lawful basis
- Contract: providing the service you booked. Legal obligation: keeping tax and accounting records. Legitimate interests: approaching local businesses about advertising, using business contact details that are publicly available. You can ask us to stop contacting you at any time.
- How long
- For 6 years after the end of the tax year in which you last advertised with us, for tax and accounting purposes.
7. Applying for a job
- What we collect
- Whatever you send us: usually your CV, contact details, availability and a note about yourself. Please don't include sensitive information such as health details, religion or ethnicity unless you want us to know it, for example to arrange an adjustment.
- Why
- To consider your application and contact you about it.
- Lawful basis
- Taking steps at your request before a contract, and legitimate interests in recruiting.
- How long
- If you're not offered a role, 6 months after we tell you, then deleted. If you are, section 8 applies.
8. Working as an operator
- What we collect
- Your name, address, date of birth, email, phone number, National Insurance number, emergency contact, proof of your right to work in the UK, bank details for pay, your shifts, hours and check-ins, pay and bonus records, and any accident, incident or safety reports. A report may include health information if you are injured or unwell during a shift.
- Why
- To schedule shifts, pay you correctly, carry out legally required right to work checks, keep you safe, recover lost or stolen equipment, and resolve any dispute about whether a shift was completed.
- Lawful basis
- Contract: your operator agreement. Legal obligation: right to work, tax, minimum wage, and health and safety records. Legitimate interests: safety and protecting our equipment. Where we handle health information, our obligations as an employer under health and safety law.
- How long
- Pay, tax and minimum wage records for 6 years. Copies of right to work documents for 2 years after you stop working with us. Other records for as long as you work with us and up to 6 years afterwards, in case of a legal claim.
The AirTag on each backpack
Each backpack unit has an Apple AirTag fitted. It shows where the equipment is, not you, and uses Apple's Find My network. We only check its location to recover a lost or stolen unit, carry out a safety check, or resolve a question about whether a shift was completed.
9. Who we share information with
We use trusted service providers who handle information on our behalf, under contracts that require them to keep it secure and only use it as we instruct:
- Cloudflare, for hosting this website and the claim pages, security, cookieless analytics and handling form submissions.
- Google, for storing claim and enquiry records in Google Sheets.
- Zoho, for our email.
We also share information with:
- The business named on an offer, as set out in section 5.
- Our accountants and professional advisers, where they need it to advise us.
- HMRC, the police, or other authorities, where the law requires it.
If you choose to message us on WhatsApp, WhatsApp (Meta) handles that conversation under its own privacy policy.
10. Where information is stored
Some of our providers, including Cloudflare and Google, may process information outside the UK, for example in the United States. Where that happens, it is protected by the UK-US data bridge or by the UK International Data Transfer Agreement or Addendum, which require the same level of protection as UK law.
11. Cookies and third-party content
This website doesn't use cookies for advertising or tracking, so we don't ask for cookie consent. Our analytics work without cookies. Cloudflare may set a strictly necessary cookie to protect the site from automated attacks.
The offer claim pages load their fonts from Google Fonts, which means your browser sends your IP address to Google when they load. The direction buttons on a claimed offer open Google Maps, Apple Maps or Waze, which have their own privacy policies.
12. Your rights
You have the right to:
- ask for a copy of the personal information we hold about you
- ask us to correct information that's wrong or incomplete
- ask us to delete your information
- ask us to limit how we use it
- object to how we use it where we rely on legitimate interests, and to any marketing at any time
- ask for information you gave us in a format you can take elsewhere, where we rely on contract or consent
- withdraw your consent at any time, where we rely on it
To use any of these rights, email [email protected]. It's free, and we'll reply within one month. We may need to confirm who you are first. We don't make decisions about you using only automated processes.
13. Complaints
If you're unhappy with how we've handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
14. Changes to this notice
We'll update this notice when the way we use personal information changes. The date at the top shows when it was last changed.
